The Role

Reporting to the Facilities Manager and sitting within a dynamic on-site team of 3 at the client’s impressive Sydney Head Office, you will have an important focus on coordinating all reactive and preventative maintenance, facilitating on-site events, and assisting with fit-outs projects and technology upgrades across 6 offices nationally, on behalf of the world’s largest and most well-known technology companies.

A typical day may involve:

  • End-to-end coordination of planned and reactive maintenance across the portfolio.

  • Coordinating contractors, granting access permits and collecting relevant documentation and certifications.

  • Managing work requests, purchase orders and invoicing.

  • Setting up meeting rooms and A/V equipment for on-site events.

  • Assisting with occasional minor projects – office fit-outs, renovations, and equipment upgrades.

  • Reviewing service reports, creating follow-up actions, and collecting data for monthly reporting to the client.

  • Managing and responding to email enquiries via the FM Helpdesk.

  • Providing occasional ad-hoc cover for the mailroom if needed during busy periods.

  • Upholding exemplary standards of customer service, maintaining clear communication with CBRE staff, client stakeholders and external contractors.

Requirements

  • Strong experience as a Facilities Coordinator within both hard and soft services (ESSENTIAL) .

  • Experience in a corporate office environment (PREFERRED).

  • Multi-site experience is an advantage.

  • Basic knowledge of Facilities Management / hard services as a minimum.

  • Working knowledge of purchase orders, invoicing and associated admin.

  • Strong computer skills with common applications (E.g. MS Office).

  • Strong organization and prioritization skills, with strong attention to detail.

  • Polished, well-presented corporate style, with excellent relationship management skills.

  • Full working rights in Australia for a permanent position.

  • Ability to travel interstate occasionally if required.
