The GWS Local Business deliver consistent solutions with local specialization through operational and service excellence, with deep expertise in the self-delivery of technical and hard services. This role will support a client account in managing billing, invoicing and accounts payable.

This is a customer and team facing role to provide exceptional customer service and business support in order to contribute to the continued growth and success of the Business. You will provide a comprehensive and flexible administration service to the client account.

Here’s a snapshot of your day

  • Ensure integrity of financial transactions form contract. Maintaining the WIP, Open purchase orders and debt to agreed contractual defined parameters

  • Create accurate purchase orders in a timely manner

  • Create/ raise extra works jobs

  • Attend and actively participate in weekly finance meeting with contract manager/subcontractors

  • Regularly review and process supplier invoices

  • Raise sales invoices (complete billing) in line with contractual and company deadlines

  • Assist with month end financial reporting and ensure deadlines are met.

  • PO Management – Raising Pos, Pending receipt report, Open PO report, Email Queries

  • Billing/Invoicing – Preparing Ready to bill, Creating BRF, Combining Invoices

  • BRF Quality Check

  • Billing Investigation

  • Daily Finance updates

  • Monthly Reporting

  • Finance & Governance Meetings System Champions e.g. Maximo; Simpro; and other systems

  • Familiar with daily operations and the specific scope of the contract e.g. which services are covered and which are chargeable.

  • Prepare and issue predefined reports, which form part of the contract and customer’s requirements both operational and financial.

  • Arrange for appropriate CBRE Technician or CBRE Strategic Partner or Contractor to attend to the Reactive Repair request

  • Monitor calls and advise Account Teams / Requestors of potential problems

  • Monitor the helpdesk and respond to incoming calls / jobs as required

  • Follow up with engineers regarding their assigned jobs & provide feedback to customers

  • Composing Client quotes – including finding appropriate contractors

  • Update Reactive and PPM job status on the work schedule system (SI7/WFM)

  • Provide regular reports / updates to managers, supervisors, and team leaders on finance s.

  • Ordering of materials / parts / PPE

About you:

  • Higher educational finance qualifications or degree

  • Experience in Accounts Payable/Accounts Receivable

  • Excellent PC based skills, with a high level of experience in Word/Excel and Outlook – intermediate to advance level.

  • 3 years’ experience in a similar role with managerial experience
