About the Role:

As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.

What You’ll Do:

  • Manage and coordinate soft services activities such as janitorial, housekeeping, pest control, landscape, pest control, etc. and provide general administration support as and when required

  • Performs inspections and prepares reports. Ensure site equipment and facilities are well maintained and renewals are in place. Work with the team to ensure site safety and management is place.

  • May coordinate and manage move, add and change activities.

  • Manages vendor relationships and trains vendors on work order and billing procedures. Processes invoices and ensures proper cost centre coding.

  • Assigns work orders to handyman, subcontractors and vendors. Communicates work orders to handyman and assists management in resolving problems. Ensuring no down-time on critical system or equipment.

  • Managing and oversee office supplies such as pantry supplies, stationeries, first aid items, etc. Ensure that they are checked regularly and are replenished.

  • Maintains files on work orders, proposals, quotation and service reports.

  • Manage season parking applications, termination and related services.

  • Any other duties assigned by Facilities Manager.

What You'll Need:

  • High school diploma or general education degree (GED). Minimum of 2 years of related facilities work experience.

  • Possess strong interpersonal skills with a service mindset (customer-oriented).

  • Highly motivated, meticulous, and willing to be cross trained in various aspects of facilities.

  • Team player with good communication and organization skills.

  • Perform multiple tasks effectively and able to work in a fast-paced environment.

  • Competency in MS Office applications. Familiarity of Apple apps and product is a plus.

  • Strong problem-solving skills and demonstrate positive attitude.

  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures.

  • Verifyall vendors’ payment and able to perform GR, invoicing and issue PO to vendors.

  • Achieve client satisfaction and successful implementation of services.

  • Able to resolve problems in the quickest way possible and input ideas to help steer the team in the right direction to allow Facilities Team to perform at its best.

  • Ensure all SLAs (Service Level Agreements) and KPIs (Key Performance Indicators) within the contract are met.

  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
