Job Summary

A Facilities Coordinator is responsible for assisting in the overall maintenance and upkeep of the site, managing technical issues and equipment maintenance. They are responsible for responding to client inquiries and concerns and ensuring timely and quality service delivery.

Essential Duties & Responsibilities

  • Responds to and resolves client inquiries and concerns

  • Ensures prompt, high-quality service delivery to clients

  • Follows up with clients to confirm satisfaction

  • Creates work orders and assigns them to technicians, subcontractors, and vendors

  • Communicates work orders to technicians and assists management in problem-solving

  • Provides reports on work order statuses

  • Creates vendor files and validates completed paperwork

  • Trains vendors on work order and billing procedures

  • Processes invoices and ensures accurate cost center coding

  • Assists with facility inspections

  • Assists with process and procedure training

  • Performs other assigned duties.

Requirements

  1. 1.Bachelor’s degree in Business Administration, Hospitality, Building Management or related field

  2. 2.Background in Facility Management of at least 2 years

  3. 3.Experience in purchasing and RFP processing

  4. 4.Basic understanding of Accounts Receivable and Accounts Payable

  5. 5.Proficiency in work order management, purchasing, and finance platforms such as Service Now, P2P, or similar platforms is highly favorable

  6. 6.Technologically advanced with the ability to quickly adapt to new systems

  7. 7.Excellent communication skills

  8. 8.Punctuality and strong time management abilities

  9. 9.Fast learner with a willingness to continually grow and adapt
