The Role

Reporting to the Senior Facilities Manager and sitting within a very friendly and welcoming team of 3 at the client’s Melbourne CBD office, you will have responsibility for the upkeep of all Workplace Experience and Soft Services maintenance across Melbourne and New Zealand, and be a key point of contact for all hard services vendors and associated admin on behalf of one of the world’s largest material science companies.

Immediate start is available.

A typical day may involve:

  • End-to-end coordination of planned and reactive maintenance across the portfolio.

  • Coordinating contractors, granting access permits and collecting relevant documentation and certifications.

  • Managing work requests, purchase orders, invoicing and admin for maintenance reports.

  • Helping to coordinate on-site events, e.g. setting up meeting rooms and A/V equipment.

  • Remotely supporting the New Zealand office with admin and finance-related tasks.

  • Exposure to minor projects across the APAC region (optional if interested in expanding scope of responsibility and learning new skills).

  • Assisting with office relocations, renovations and expansions when needed.

  • Liaising with external vendors and ensuring that all compliance documents are collected.

  • Helping to monitor expenditure and collaborating on cost saving initiatives.

  • Upholding exemplary standards of customer service, maintaining clear communication with CBRE staff, client stakeholders and external contractors.

Requirements

  • (ESSENTIAL) Strong experience in Admin or Facilities roles within a corporate office environment.

  • (ESSENTIAL) Working knowledge of purchase orders, invoicing and associated admin.

  • Multi-site responsibility is an advantage.

  • Basic knowledge of Facilities Management or Commercial Property would be preferred, but not essential.

  • Strong computer skills with common applications (E.g. MS Office).

  • Strong organization and prioritization skills, with strong attention to detail.

  • Polished, well-presented corporate style, with excellent relationship management skills.

  • Full working rights in Australia for a permanent position.
