Role Purpose

You will be responsible for providing general property management activity in the key responsibilities below, working closely with a Surveyor on approximately 800 properties. This is a commercial property management role covering maternity leave, reporting to a Director and the client’s property management team.

Key Responsibilities

‒Work with SIPP team to ensure all clients KPIs and deliver core services as per the Property Management Agreement.

‒Actively manage casework including coordination of lease renewals, new lettings and rent reviews.

‒Review & progress tenants’ application to alter, assign and sublet under the guidance of Surveyors.

‒Assist with landlord works and day to day property management issues.

‒Taking appropriate action in response to any legal notice received in relation to a managed property.

‒Reading of leases and ensuring accurate data is maintained on the property management system.

‒Assist the Credit Control team to achieve all rent collection targets and agree action points on arrears with client.

‒Ensure all new leases, properties & sold properties have been updated on CBRE systems properly & adhering to internal procedures.

‒Insurance management –notifying clients brokers of any changes in occupation at the property.

‒The job will require the ability to read and reconcile tenant’s accounts. It is important to have basic accounting/numeracy skills.

‒Identify and progress opportunities for cross-selling to other offices and teams.

‒Provide support and guidance to other junior team members in relation to property matters and contract.

‒Assist with the preparation of Client reports and be willing to take on additional tasks.

‒To respond in a professional and timely manner to incoming enquiries from the Client, tenants and third parties by phone and e mail in relation to all types of property related issues

‒Reviewing and approving invoices for payment by the client.

‒To maintain a commercial focus and be aware of the split between core functions and additional services provided by CBRE to the Client.

‒To plan, prioritises and manage workloads effectively to meet internal targets, deadlines and Client KPIs. Share any concerns or issues quickly, taking necessary steps to rectify.

Person Specification/Requirements

‒Candidate preferably educated to a degree level or has sufficient experience in property field.

‒Excellent communication skills (verbal & written) and numeracy skills. A “can-do” and flexible attitude.

‒Good attention to detail is vital. Ability to work methodically and in a highly organised manner.

‒Task oriented and self-motivated, with ability to prioritise work so deadlines are met in a timely and accurate manner.

‒To work in a logical and disciplined manner, ensuring accuracy and making appropriate use of IT software such as Word, Excel, Outlook and other databases.

‒Understand VAT, banking, and credit control methods.

‒Thrives on working as part of a team, supporting other team members, and recognising the work of others.

‒Ability to read and understand key parts of a commercial lease leases/legal documents with an analytical approach to query resolution.

‒Awareness of Landlord and Tenant legislation would be beneficial in this role.

‒Able to build and maintain colleague & client relationships.

‒Able to contribute to team and department business plans.

‒Sociable & outgoing.

‒A strong background in customer services.

‒Experience with Property Management, Financial systems and/or Work-flow systems

‒Previous experience in commercial Real Estate would be an advantage.
